JOB DESCRIPTION

Star Support (SS) is seeking a leader to provide administrative and program support for our Afterschool, Summer Camp and Art Programs.

Job Description:

​

The Administrative Assistant is responsible for performing administrative duties related to planning, directing and coordinating activities to support the implementation of a high-quality educational program.

The Administrative Assistant will consistently strive to demonstrate cause-driven leadership through the following SS Leadership Competencies - Mission Advancement; Collaboration; Operational Effectiveness and Personal Growth. The Administrative Assistant engages in and promotes the SS mission through the core values: Honesty, Caring, Faith, Responsibility, and Respect.

Qualifications:

​

  • Two years of related experience, preferably supporting school-based programs.

  • Bi-lingual (English/Spanish) preferred.

​

Education/Certification:

​

  • Associates or higher college degree form and accredited college/university (preferred).

  • CPR and First Aid (must obtain within first 6-months of employment).

​

Skills:

​

  • Must have experience in office administrative responsibilities, good organizational skills, and knowledgeable in Microsoft Office and Excel.

  • Ability to work under supervision.

  • Good written and oral communication skills.

  • Ability to stay alert to potential safety and security problems.

  • Ability to carry out instructions independently.

  • Ability to get along with people of diverse backgrounds and be enthusiastic, courteous and friendly with children, parents and staff.

  • Skills in planning, organizing, systematizing, implementing are essential.

  • Must have proven skills in problem-solving and decision-making.

Interpersonal Skills:

​

  • Familiar with the culture and mission of the organization.

  • Excellent communication and organizational skills required.

  • Friendly and polite. Ability to negotiate and manage interactions with employees, coworkers, department directors, and vendors as needed.

  • Ability to be gracious with all persons of various ages, cultures, and creeds.

  • Ability to keep records organized and as applicable-confidential.

Essential Functions:

​

  • Understand the SS Mission. Promote and incorporate the SS core values of Caring, Honesty, Faith, Respect and Responsibility and character development model into all program activities.

  • Conduct oneself in a manner that is supportive of teamwork.

​

Perform various administrative responsibilities that include, but are not limited to:
 

  • Typing of all correspondence.

  • Maintaining a systemic file system.

  • Making copies and printing flyers/signs.

  • Data entry

  • Preparing and gathering registration forms, attendance sheets and other forms as required by the program.

  • Arrange transportation for business/program related items.

  • Complete and submit reports by required deadlines.

  • Participate in organization-wide trainings, staff meetings, and special events, fundraising; and complete the required training hours.

  • Assist in establishing new program activities and expanding collaborative relationships within the community in accordance with the organization's strategic plans.

  • Maintain confidentiality of youth, families and all program matters.

  • Assists in the marketing and distribution of program information.

  • Report any suspected case of child abuse immediately as outlined in the Child Abuse Prevention policy.

  • Adhere to all standards outlined in the "Employee Handbook".

  • Perform any other duties as assigned by Program Director or VP of Operations.

Working Conditions:

​

This position is required to be performed on the SS premises summer camp and afterschool sites. Regular interaction with members and staff. Supervision received from the Program Director and Vice President of Operations. May also take direction from senior staff.

 

Base:

​

Monday through Friday. Some evenings and/or weekends may be required.
